Holiday Camps – Terms & Conditions

Booking with Fit4Schools creates an agreement between us; which is based on our booking conditions, as well as general information found on our website and in our school and parent guides and FAQ’s. So that we can provide you with an effective and appropriate service; our agreement and working relationship with you, will be open and honest. We have high expectations; and we always aim to exceed them. If for any reason, something goes wrong or if you are unhappy with us, please tell us and we will work hard to put things right, as quickly and effectively as possible.

1. Payment

Full payment confirms the details on the booking form and accepts these booking conditions.

2. Debit and Credit Card Payments

There are no charges for debit cards. No card details are stored for future use unless you expressly agree to this in writing. Card details which are stored will be encrypted and used for future bookings only.

3. Childcare Vouchers

We do not currently accept Childcare Vouchers.

4. Confirmation

A confirmation email will be sent upon booking and acceptance of payment. Please check it, including dates, location and child details. Responsibility for all booking details lies with the person who made the booking. If your confirmation email is not what you expected please tell us within 2 working days, we’ll change it if we can, or refund you if we can’t. After 2 working days our normal cancellation and booking amendment terms will apply.

5. Offers

Our pricing policy generally works on the basis that the earlier you book the better the price. All of fit4schools costs are outlined on the website and via marketing with deadlines of when offers will expire. We cannot honour a price after the expiry date of that particular offer.

6. Changing Weeks/Days

We can change your dates within the same operating season, subject to space availability and you requesting your change at least 10 working days before your child’s first day at camp. Prices may have increased; however, you will only pay the rate that the week or day you want to move to was at when you made your original booking. If you have booked a full week you cannot move individual days to another week.

7. Cancellations and Curtailment

To cancel a booking, you must contact fit4schools with your request within 7 working days of receiving the confirmation email. A refund will be made upon receiving this request. If after 7 days you have not contacted us to make this request, we will assume the booking is confirmed.

8. Photography/Video footage

We may take photographs and video footage at camp to use for training and promotional purposes. To include your child in photography/video footage we will request you sign a consent form before your child begins at camp. Where possible, we will post anonymised photos to our social media platforms for parents to view, but please note we cannot guarantee your child will appear on these. You have the right to ask for your child’s photo to be removed at any time.

9. Health and Safety

In order to maintain appropriate standards of health and safety, children with certain medical or physical conditions or those who cannot demonstrate the required skill competence may not be allowed to participate in some activities. In such cases we will always provide alternative activities.

10. Your Child’s Information

At the time of booking full and accurate information about the child’s DOB, medical, physical or behavioural matters, or any other additional needs must be provided. Failure to do so may result in the child being excluded from certain activities. In some circumstances the booking may be cancelled without a refund. Without this information, Fit4Schools cannot accept children onto camp. All information given will be treated in complete confidence.

11. Child Protection

Fit4Schools staff have a duty to respond if they suspect a child may be suffering from or makes a disclosure about abuse. In this event staff will contact the relevant local authority and act on their advice.

12. Staff Ratio

Fit4Schools ratio of staff to children exceeds all statutory requirements. The actual ratio varies between activities, age groups and camps. For children under 8, the required staff ratio is 1:8. For children over 8 years of age, the required staff ratio is 1:16. However, fit4schools will operate at 1:9 for children over 8 by providing extra staff.

13. Liability and Personal Property

Fit4Schools does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the company or its servants. Fit4Schools liability insurance provides cover of up to £5 million.
Fit4Schools will not take responsibility for the loss or damage of any items of personal property brought onto the camp. Details will be provided in advance of what children should and should not bring to camp (inc mobile phones). A copy of the Fit4Schools Lost Property Policy is available upon request.

14. Exclusions

Fit4Schools reserves the right to exclude any child for any reason at its absolute discretion, including persistent late collection; we are only registered to have children on site until 6pm. No refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result. Parents should ensure that all children are collected at the appropriate time daily.

15. Programme and Activities

From time to time we may need to amend our activities, services, dates and venues for reasons, within or outside our control. In these circumstances parents may choose to transfer to another Fit4Schools site and/or alternative dates as advertised at that time by Fit4Schools, subject to other conditions contained herein. Under no circumstances will there be a refund or compensation. Please note that not all activities appear on the timetable daily, therefore if you are booking individual days we cannot guarantee specific activities on particular days.

16. Surcharge

Fit4Schools reserves the right to a surcharge in published prices if there is an increase in the rate of VAT above 20% prior to the commencement of the holiday.

17. Policies and Procedures

Copies of all Fit4Schools policies and procedures are held at camp and Head Office and available upon request.

18. Complaints

Fit4Schools is committed to ensuring every child has an exciting and enriching experience at camp. If you or your child are not entirely satisfied with the service we provide, please, let us be the first to know. If there’s a problem while your child is still at the camp, we can almost always resolve it. If we hear of a problem after a child has left camp we will thoroughly investigate the matter, however, it may not be possible to change the outcome. It is important therefore, that you talk to the Camp Manager promptly if you have any issues or concerns. If your child is still at camp and the problem persists, please contact our Head Office. If the problem is still not resolved, please write to our Head Office within 10 days of your child’s last day with us. All and any complaints are taken very seriously. In the unlikely event your complaint is still unresolved, you may wish to contact Ofsted on 0300 123 1231 or write to Ofsted, Piccadilly Gate, Store Street, Manchester, M1 2WD.
Refunds and compensation will only be made if Fit4Schools is proven to have been in breach of these terms and conditions, and it is proven further that they were not capable of remedying that breach and as a result the child was withdrawn from the camp. Verbal abuse of office or camp staff will not be tolerated, and bookings will be cancelled with immediate effect.

19. Data ProtectionFit4Schools acts as a Data Controller for the purposes of the Data Protection Act

1998 (GDPR from 25th May 2018). To process your booking, we need to collect personal details about you and all the children on your booking. It is your responsibility to ensure that you have permission to provide these details and that they are accurate. Fit4Schools will securely hold these details (full details of how we may use your data are available in our Privacy Policy); We will never pass your details on to any third party. These booking conditions were published in good faith in April 2018 for our 2018/19 seasons.

Fit4schools provided workshops across the school to support the children’s understanding of food and nutrition.  Fit4schools staff helped the children  link their physical fitness to diet as they were able to discuss the impact of food on performance.
